Catering Policies



Can packages be mixed or altered?
Absolutely. Use these menus as a guide, for we know every event is unique and we can customize our menus to meet your needs.

Are there overtime charges?
Yes, if your party continues beyond the scheduled adjournment time, overtime charges for the room or bar service may apply. Overtime may not be available if another function follows yours.

Can I offer an entrée choice on a sit down dinner?
Yes up to two choices when we are given an entrée count 3 days in advance of the event. This means asking your guests to specify their entrée preference on the invitation response card, and giving us the totals for each entrée.

Are there separate prices for kids?
In most cases, yes. For Bar and Bat Mitzvahs, a separate teen package if offered. For other social occasions, such as weddings and anniversaries, we recommend a kids’ plate (usually Chicken Fingers, French Fries, and Fruit) for children 12 years and younger.

When is my final payment due?
Full estimated pre-payment is required in advance, a minimum of three working days, for all functions.

Parking
Complimentary Valet Parking is available for all events. Self-Parking is also always available.

Maps
We would be happy to provide you with maps and driving directions to enclose in your invitations. You may also direct guests to this website and click on "map and directions" under the Home category

Can I do a ceremony rehearsal at Hillcrest Country Club?
If your ceremony takes place here, we will be pleased to provide space at no charge, based upon availability. Space may be tentatively reserved one month prior and confirmed two weeks prior to your wedding. Rehearsals are scheduled for either Wednesday or Friday Evenings. We strongly suggest having your notary, minister, or rabbi direct your rehearsal, but in a case where that is not possible, we will be happy to assist you.

Is there a Bridal Room Available?
We do offer a private dressing room for the bride and bridal party to use prior to their event. If you would like to reserve the room, please contact your catering representative.

What starting time should I put on my Invitations?
Please list the same starting time as you have arranged with us. We will be ready to receive your guests at the specified time.

Table favors, place cards, and other personal items.
We will be happy to place any reasonable amount of these items for you during the set up time of your event. We ask that you bring them in 3 days prior to your event. Ask your Catering Director for a favor list for your inventory. Fresh floral arrangements must be delivered during the setup time.

Who will be here on the day of my party?
We pride ourselves on personal service. You will be working very closely with our Catering Director. She along with our Food and Beverage Manager and Executive Chef with be all be present, working to see that your affair is a smashing success.

When do my other vendors have access for set-up?
In most cases we provide a two-hour set up time prior to your event for your florist, decorator, musicians, etc. If you are planning a photo session prior to your event, you may need to consult with your Catering Representative to verify availability.

Are the grounds available for my photography?
Our beautifully manicured golf course provides the perfect backdrop for your wedding photography. Our recommended photographers are well acquainted with our many panoramic views that will enhance your memories. Indoor photography will depend on space and time availability.

Is a tasting or sampling of my menu available?
Yes, once you have confirmed your booking, a private tasting can be arranged of your luncheon or dinner menu and are complimentary for two guests. Tastings are usually scheduled on Wednesday, Friday or Sunday evenings.

Guarantees
In arranging for private functions, attendance totals must be given to the club, 3 full business days in advance of the function. This number shall constitute a guarantee, not subject to reduction, and charges will be made accordingly. Should the Club not receive a guarantee in the prescribed time, the original estimate provided by the contracting party will serve as the guarantee. For parties of more than 100 guests, the Club will provide seating for an additional 5% over the guaranteed number. The Club cannot be held responsible for service in excess of the guaranteed number.

Service Charges and Taxes
All Food and Beverage is subject to a taxable 20% Service Charge and current Sales Taxes. Tax Exempt organizations must submit a Florida ST-2 and ST-5 certificate of exemption prior to their scheduled function.

Split Menu
For all Meals in which a choice of two entrees is offered, the price of the more expensive entrée will prevail and charged accordingly.

Entertainment
To ensure the success of your event, we would be pleased to provide or help coordinate floral arrangements, decorations and entertainment.

Payment
Full estimated pre-payment is required in advance, a minimum of three working days, for all functions. Our Accounting Department must approve all requests for Direct Billing two weeks in advance of your scheduled function. Please remember that pre-payments are non-refundable.

Cancellation
If you cancel your event or agreement, your pre-payment, along with any cancellation fees, will be due and payable immediately unless specified otherwise. In the event of a declared weather emergency, all pre-payments will be applied to another event provided this function is rescheduled within 90 days of the cancelled event.

Liability
Hillcrest Golf and Country Club assumes no responsibility for the damage to or loss of any merchandise or article left prior, during, or following your function. Additionally, we reserve the right to control all private functions. Patrons agree to be responsible to reimburse the Club for any damages done by the sponsor of the function or their guests to the property. Should you need to hang banners or signage, please consult with your Catering Representative first for assistance.

Minimums
For private parties with groups of 35 or less, the Club will charge a $50.00 labor fee.
